SystemsLab, LLC ("we," "us," or "our") operates Hours Cloud, a managed time tracking service available at app.hoursapp.cloud, and the marketing website at hoursapp.cloud. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

2. Information We Collect

Account Information

When you create an Hours Cloud account, we collect your:

  • Name
  • Company name
  • Email address
  • Password (stored in hashed form)

Non-Profit Verification

If you apply for our Non-Profit plan, we collect documentation verifying your organization's 501(c)(3) status or equivalent certification.

Service Data

When you use Hours Cloud, we store the data you create within the application, including:

  • Time entries and hours logged
  • Project and client names
  • Invoice records
  • Approval workflow data

Payment Information

Payment processing is handled by Stripe. We do not store your credit card number or full payment details on our servers. Stripe may collect information as described in their privacy policy.

Analytics Data

Our marketing website at hoursapp.cloud uses Google Analytics to collect anonymized usage data such as page views, referral sources, and device information. This helps us understand how visitors find and use our website. Google Analytics uses cookies for this purpose. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

Cookies

We use cookies for:

  • Authentication: Session cookies to keep you signed in to Hours Cloud
  • Analytics: Google Analytics cookies on the marketing site

We do not use advertising or tracking cookies.

3. How We Use Your Information

We use the information we collect to:

  • Verify non-profit status for discounted pricing

We do not sell your personal information. We do not use your data for advertising purposes.

4. How We Share Your Information

We share information only in these limited circumstances:

  • Stripe: Payment information is shared with Stripe to process transactions
  • Google Analytics: Anonymized website usage data is processed by Google
  • Infrastructure providers: Your data is hosted on Amazon Web Services (AWS) in the United States
  • Legal requirements: We may disclose information if required by law, regulation, or legal process

We do not share your service data (time entries, clients, projects, invoices) with any third party.

5. Data Storage and Security

Your data is stored on servers in the United States using Amazon Web Services. We implement industry-standard security measures including encryption in transit (TLS) and at rest, regular backups, and access controls.

While we take reasonable steps to protect your data, no method of transmission or storage is completely secure. We cannot guarantee absolute security.

6. Data Retention

We retain your data for as long as your account is active. If you cancel your account:

  • Your data will be available for export for 30 days following cancellation
  • After 30 days, your data will be permanently deleted from our servers
  • Backups containing your data will be purged within 90 days of account cancellation

7. Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Export all of your data at any time through the application
  • Correct inaccurate information in your account settings
  • Delete your account and all associated data

8. Children's Privacy

The Service is not intended for anyone under 18 years of age. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child, we will take steps to delete it.
